Payment & Refund Policy
PAYMENT & REFUND POLICY
Occidental Travel Co. is committed to providing clear, fair, and transparent payment terms. We understand that booking an international tour is a significant financial decision, and we want every traveller to feel secure and confident when arranging their trip with us.
This policy outlines how payments are handled, when they are due, and under what circumstances refunds are issued.
1. Deposit & Booking Confirmation
A deposit is required to secure your place on any tour.
Deposit amount: USD 500 per traveller (or equivalent in your local currency)
The deposit is non‑refundable but remains fully transferable to any other Occidental Travel Co. tour within 24 months of the payment date
All deposits are confirmed in writing
If minimum numbers are not met for a tour, all deposits are refunded in full.
2. Balance Payments
The remaining balance is due 90 days before departure.
You will receive:
A formal invoice
A detailed itinerary
Confirmation of inclusions
Accommodation details (or example hotels if final allocation is pending)
3. Refunds After Balance Payment
We understand that circumstances can change. Our refund structure is designed to be fair while also protecting the commitments we make to suppliers.
If you cancel:
More than 60 days before departure: 75% refund of the balance paid
Less than 60 days before departure: No refund (as hotels, transport, and activities are fully committed)
In all cases, we will provide documentation to support any travel insurance claim you may need to make.
If Occidental Travel Co. cancels the tour:
You receive a 100% refund of all payments, including deposits.
4. Transfer of Booking
If you cannot travel, you may transfer your booking to another person.
Transfers are allowed up to 30 days before departure
No transfer fees
The replacement traveller must complete the standard registration process
If the tour includes internal flights, name change fees will apply.
5. Payment Methods
To ensure safety and transparency, we offer secure payment options:
Bank transfer – we have forex accounts in a number of countries to make transfers convenient
Credit card payment (3% processing fee applies)
Wise or PayPal(fees apply)
All payments are receipted immediately

6. Protection Against Tour Non‑Operation
If minimum numbers are not met, or if circumstances require cancellation (e.g., safety concerns, supplier issues), you will receive:
100% refund of all payments
A written explanation
Priority access to future tour dates
We never retain funds for tours that do not operate.
7. Travel Insurance Requirement
All travellers must hold travel insurance that covers:
Trip cancellation
Medical emergencies
Travel disruption
Baggage loss
This protects both you and the tour group.
8. Health, Fitness & Participation
Travellers must:
Be in reasonable health
Be able to walk moderate distances
Disclose any medical conditions that may affect participation
We reserve the right to decline participation if a traveller’s condition may compromise safety or enjoyment.
9. Itinerary Changes
While we aim to follow the published itinerary, occasional changes may occur due to:
Weather
Supplier availability
Local conditions
Safety considerations
In such cases we will always attempt to provide equivalent or improved alternatives.
10. Liability
Occidental Travel Co. is not liable for:
Personal injury
Loss of property
Delays
Changes caused by airlines, hotels, or third‑party providers
Events outside our control (weather, political events, natural disasters)
We will always assist you in navigating disruptions.
11. Acceptance of Terms
By paying a deposit, you acknowledge that you have read and accepted these Terms & Conditions.
